Brivo Visitor Pro: visitor flow that lives inside Brivo Access

Brivo Visitor Pro is the visitor management module that sits natively inside the Brivo Access platform. The advantage of running visitor management inside the same platform that runs access control is operational. When a visitor checks in, Visitor Pro can automatically issue a temporary Brivo credential, log the visit against the host employee, capture identification, print a badge, and notify the host through SMS or email. When the visit ends, the credential expires automatically and the audit trail captures the entire visit from arrival to badge return.

Pre-registration workflow

Visitor Pro begins before the visitor arrives. Hosts pre-register expected guests through the Brivo Access dashboard or through an Outlook or Google Calendar integration that JBT configures during deployment. The visitor receives a confirmation email containing the visit details, parking instructions, building access information, and a QR code that speeds up arrival check-in.

For office buildings handling steady inbound traffic, pre-registration reduces lobby congestion noticeably. The receptionist or kiosk simply scans the QR code, confirms identity, and issues the prepared credential. Visit details, host contact information, and any required NDA or visitor agreement are already captured in the pre-registration step.

Self-service kiosk deployments

JBT routinely deploys Visitor Pro with a touchscreen kiosk at the building entry. The kiosk handles unattended check-in for buildings without a full-time receptionist and supplements the reception desk during busy periods. A typical kiosk configuration captures visitor name and company, photographs the visitor for the visit record, scans an ID if required, presents any required NDA or safety document for digital signature, and prints a temporary badge.

The kiosk hardware is a self-contained tablet stand with an integrated printer. JBT mounts the kiosk in line with the reception desk, runs power and a hardwired network drop where possible, and integrates the printer for badge stock the customer prefers. Configuration of welcome messages, required fields, and visit types happens entirely in Brivo Access.

Host notifications and visitor escort policies

When a visitor checks in, Visitor Pro triggers a host notification through SMS, email, and an in-app push to the host's mobile device. The host receives the visitor's name, photo, and any context the visitor provided at check-in, then responds inside the notification to confirm and walk down to escort the visitor in.

For buildings with strict escort policies, JBT configures Visitor Pro to require host confirmation before any temporary credential is activated, ensuring that no visitor unlocks an access-controlled door without explicit host acknowledgment. The audit log captures the entire interaction.

Integration with Envoy, calendar systems, and HRIS

For larger tenants already running Envoy or another visitor management platform, JBT integrates Brivo Access with the existing tool rather than replacing it outright. The Brivo open API accepts visitor records from Envoy and provisions matching temporary credentials, so the customer keeps their preferred front-of-house experience while gaining the unified audit trail of running access control and visitor management on the same backend.

Calendar integration with Outlook and Google Workspace lets hosts pre-register visitors directly from a meeting invitation, and HRIS integration ensures only currently-employed hosts can register guests, which closes a subtle compliance gap on most legacy systems.
